Special Interest Group (SIG) Sessions Submission Guidelines
AGS will make several meeting rooms available to groups with common research or clinical interests to hold informal meetings during the annual meeting. The number and scheduling of SIG meetings will be set by the program committee based upon annual meeting logistics.
SIG Guidelines
SIGs must be sponsored by at least one active AGS member in good standing. Sponsorship by more than one member is preferable.
Each SIG must focus on a specific question or issue (exploring a controversial issue, understanding a technique, new technological advance, practice management topic, etc.). A maximum of 3 speakers, or a panel of no more than 5 panelists, will provide an introduction to the issue, pose questions, and then open the floor for discussion.
40%/60% Rule – At least 60% of the total SIG Meeting time (90 minutes) must be used for open discussion. Up to 35 minutes may be used for prepared presentations. The remaining time (55 minutes) must be used for open discussion.
Annual Meeting attendees will be allowed to contribute questions and description of a brief point they wish to make, along with a single PowerPoint slide, in advance of the SIG. The organizer may select several of these to serve as a catalyst for discussion. If selected, the individual would have no more than 2 minutes to make their point during the open discussion period.
SIGs may not be related to a specific product. However SIGS covering a product class in which multiple products are covered in a balanced manner will be considered by the Program Committee.
All SIG organizers, presenters, and attendees must register and pay the registration fee for the Annual Meeting - no exceptions.
Commercial and other pertinent relationships must be disclosed for the organizer, moderator(s), and each speaker/panelist in the proposal and at the beginning of the SIG. The Program Committee will not review the proposal without this information.
The SIG description (limit: 250 characters) as submitted on the application will be listed in Meeting publications. The commercial relationship information indicated on the application will be added to the description at the time of publication.
SIGs are not Symposia and there is no financial support for speakers.
Printed materials and handouts for the SIG must be supplied by the SIG organizers. The AGS office staff will not provide this service.
SIG venues will be provided with a podium, LCD projector and screen. Additional audio-visual needs are the responsibility of the SIG organizers and must be arranged through the audio-visual contractor at least one month prior to the meeting.
Two-part SIGs are not permitted.
SIGs may not honor specific individuals.
SIGs do not qualify for CME credits.
SIG On-line Submissions
SIG applications must be submitted on-line by November 20, 2009. Late applications are not accepted.
Each application must include:
Session information (title, 250-word description)
Organizer information
Speaker(s) information
Moderator(s) information
Only complete SIG applications will be sent to the Program Committee for review. A link to the SIG application is below. Please review these guidelines before submitting your application.
Review of SIG Proposals
SIG proposals will be reviewed by the Program Committee. The SIG review process will take place after the abstract review process is complete and SIGs will be scheduled in a manner that will most effectively complement the overall scientific program and meeting room availability.
SIGs on similar topics may be combined at the discretion of the Program Committee.
Notification of Acceptance
SIG organizers will be notified of acceptance no later than December 07, 2009. It is the responsibility of the organizer to notify SIG participants of scheduling information. Organizers are responsible for informing participants of the Meeting registration requirement. Participants are not given free registration for speaking in a SIG, regardless of the extent of their stay at the Annual Meeting - no exceptions.
The accepted SIGs will be posted on the AGS website in February.
